Essential Duties and Responsibilities and Expectations

Organizational Responsibilities include:

Specific Responsibilities include:

  • Remediation & Mitigation Scheduling & Related Responsibilities
    • Answer phones, complete lead sheets
      • Schedule an estimator for an appointment or prepare to dispatch the initial responder
      • Collect payment information as needed, take in leads, schedule appointments with estimators, or dispatch first responder depending on the situation
      • Set up and manage jobs in multiple CRM platforms; incoming information, close outs etc.
      • Set up lock boxes for new jobs as per request from Project Managers or Supervisors
      • Work with contracts and other job specific documentation
      • Maintain on-call schedule for production
      • Coordinate initial responder for during and after business hours
      • Assist in overall daily scheduling with assistance from the supervisors
      • Maintain TIP (time in process on master schedule)
  • Carpet Cleaning, Duct Cleaning, and Dryer Vent Cleaning Scheduling Responsibilities
    • Answer phones, schedule and write up work orders for carpet cleaning and duct & dryer vent cleaning
    • Accept rug(s) for cleaning and write up tag with required customer information
    • Accept payment and assist customer in loading clean rug if required
  • Additional Responsibilities
    • Assist walk-in customers, and direct them accordingly
    • Generate weekly reports for Marketing, Sales, and Production
    • Audit CRM platforms for accuracy on a regular basis
    • Work with Third Party Vendors to gain leads
    • Work with 3rd party platforms to keep them updated with our vehicle fleet
    • Assist in ensuring TPA Program work standards are met and maintained
    • Determine validity of warranty work
    • Accept and complete miscellaneous projects as needed
    • Responsibilities may be amended, added, or deleted as needed

Minimum Qualifications (Experience/Education)

  • Highschool degree or equivalent working experience
  • Have a clean driving record
  • Maintain a valid Montana driver’s license
  • Pass a background check

Competencies or Knowledge, Skills and Abilities

  • Knowledge of the building & restoration industry
  • Knowledge of insurance claims handling processes
  • Proficiency in MS Word, Excel, & Outlook
  • Proficiency with Xactimate, DASH, Sage 100 or similar databases
  • Ability to multitask under increased work loads
  • Ability to follow allocated work schedule
  • Proven people skills with customers and coworkers
  • Well-organized, self-motivated, innovative, accurate, collaborative, and analytical

Physical Demands & Working Conditions

  • Must be able to lift and carry area rugs up to 40#
